These Terms & Conditions (“Terms”) apply to all services provided by PMS Property Maintenance Services (“PMS”, “we”, “us”, “our”). By booking, paying a deposit, or making any payment, you confirm that you have read, understood, and agreed to these Terms.
Where a signed written contract exists, that contract takes priority over these Terms.
1.1 A booking is confirmed once a quote is accepted and a deposit or payment is received.
1.2 All deposits and payments are non-refundable unless explicitly agreed in writing.
1.3 Deposits are deducted from the final balance unless the job has been paid in full.
1.4 For multi-day projects, we reserve the right to invoice for work completed to date, with the remaining balance due on completion.
1.5 Quotes are valid for 14 days. Estimates may increase or decrease depending on site conditions, access, or additional work required.
1.6 The full balance is due on completion, before our team leaves the site, unless otherwise agreed in writing.
1.7 Late payments may incur a £25 per day charge until payment is received.
1.8 Any chargebacks, payment reversals, or disputed payments for work already completed will result in:
2.1 Customers must provide clear, safe access to the work area.
2.2 Access to electricity and water may be required depending on the service.
2.3 For spraying services, access to internal areas may be necessary.
2.4 No other trades may operate on site during agreed dates without prior approval.
2.5 Interference by other parties may result in PMS leaving site without refund; a new booking and deposit will then be required.
3.1 Some services are weather dependent. Unsafe or unsuitable conditions (rain, extreme temperatures) may require rescheduling.
3.2 Weather-related rescheduling does not result in a refund.
3.3 Customer-requested rescheduling must be made at least 48 hours prior.
3.4 A rescheduling fee of up to 10% of the original booking may apply.
4.1 Customers must inspect the work upon completion.
4.2 Any concerns or touch-ups must be reported before our team leaves site or within 24 hours.
4.3 PMS is not responsible for issues reported after 24 hours.
By booking, you acknowledge:
PMS will take all reasonable precautions to protect property.
6.1 PMS is not liable for failures caused by prior repairs, coatings, paints, or workmanship by third parties.
6.2 Previously painted or treated surfaces may react unpredictably.
6.3 Full stripping or additional preparation may incur extra costs.
7.1 PMS may cancel or suspend work if safety risks are identified, including unsafe access, unstable surfaces, or aggressive/abusive behaviour.
7.2 No refunds will be given where work is cancelled for safety reasons.
8.1 All cancellations are non-refundable.
8.2 Rebooking requires a new deposit.
9.1 Any breach of these Terms—including unsafe site conditions, interference with work, failure to provide access, or late cancellation—may result in the client being liable for flat-rate liquidated damages.
9.2 The flat fee is £800 per full-day booking, in addition to any deposit or outstanding balances.
9.3 This fee represents a reasonable estimate of losses including labour, materials, and administrative costs.
9.4 For unsafe site cancellations:
9.5 Payment is due within 7 days of invoice. Non-payment may be recovered through debt collection or legal action.
10.1 PMS may take photographs or videos of completed works for marketing unless declined in writing beforehand.
11.1 Site visit/call-out fees may apply: £40 up to 20 miles.
11.2 Additional mileage: £0.25 per mile beyond 20 miles.
12.1 Delivery/removal of items for off-site work may incur extra charges based on distance, weight, access, and time.
13.1 Customers must confirm their location is within our service coverage.
13.2 Payments are non-refundable if the property is outside the service area.
These Terms are governed by the laws of England and Wales.
